Transaction Red Flags Real Estate Agents Should Never Ignore

Real estate transactions have a lot of moving pieces.

Contracts, deadlines, inspections, financing, title, escrow, documents, signatures, and multiple people all have to come together before everyone makes it to the closing table.

And while unexpected problems are sometimes unavoidable, many transaction issues give you warning signs first.

The key is noticing them—and acting before a small issue becomes a much bigger one.

1. “I’ll Send It Later”

Whether it's a document, signature, payment, or piece of information, anything tied to a deadline deserves follow-up.

Don't assume it has been handled simply because someone said they would take care of it.

A proactive transaction process tracks what's outstanding, who is responsible, and when it needs to be completed.

2. Missing Signatures or Initials

Sometimes the smallest details cause the biggest headaches.

Review documents carefully and confirm that required signatures, initials, dates, and other necessary information are complete before moving on to the next step.

Catching something early is much easier than discovering it when time is running out.

3. Conflicting Dates or Unclear Terms

If something doesn't match, don't assume you know which version is correct.

Contract dates, amendments, closing timelines, repair agreements, and other terms should be clear and properly documented.

When in doubt: stop, verify, and communicate.

4. Radio Silence

Waiting on a response happens in real estate. But extended silence—especially when a deadline is approaching—deserves attention.

Proactive follow-up with the appropriate parties helps identify potential delays sooner and keeps everyone informed about what is still outstanding.

Sometimes a simple “Any updates?” really does keep the transaction moving.

5. “I Thought They Handled That”

This may be one of the most dangerous assumptions in a transaction.

Clear responsibilities matter.

Everyone involved should know who owns the next step, what needs to happen, and when it needs to be completed.

Delegating a task isn't the same as confirming it was done.

Proactive Beats Reactive

No transaction management system can eliminate every surprise.

What a strong system can do is make it easier to identify potential problems early.

Track the deadlines. Document important communication. Follow up consistently. Verify what's complete. Know what's coming next.

Because the goal isn't to become better at putting out fires.

It's to prevent as many of them as possible.

At Proactive Close, that's more than a company name. It's how we approach every transaction.

We handle the details that keep your deals moving.
